VQT Music Policies

Please take a moment to read our policies and let us know if you have any questions. Our teachers are degreed professionals who earn their living by teaching music. For our school to run smoothly and attract the best possible teachers, we have policies in place that will respect their time, as well as yours. These policies are fair, reasonable .To avoid future misunderstandings and conflicts.

Our registered students come every week at the same time. Monthly are due at the first  day of each month

Private Lesson:  (30 – 60 minute lesson)

Band/Group Lesson:  (45 – 60 minute lesson)

Theory Lesson:  (30 – 45 minute  lesson)

Credit Lessons

Credit lessons are for student who are not able to commit to a regularly schedules lesson time, but want occasional guidance from a teacher.

Four Credit Lessons: 30 minute lessons is $130

Registration Deposit

Upon enrollment a deposit of $30 is mandatory. This deposit is refundable and may be used as credit for the student’s final lessons, or returned in full if the month’s tuition fee has already been collected and notice has been given by the 15th of the month. As a courtesy to the music instructor and school, we must receive a minimum of two full business weeks’ notice to discontinue lessons or the $30 refundable deposit is forfeited.

Cancellation / Missed lessons

If a student misses a lesson for any reason and gives a 24-hour notice, the student is eligible for a makeup lesson. If 24-hour notice is not given, or no notice is given, the student is not eligible for a makeup and the student forfeits that lesson. Tuition will not be adjusted for missed lessons, or if the student is unable to make suitable arrangement for a makeup lesson. 1 makeup per 2 month is allowed ,maximum allowed 1 CREDIT lesson per 6 months and does not accumulate.

Time for Payment

Invoices will be hand out on the between 18th – 25th of each month for the following month. For example, the invoice for July will be sent on the between June 18th – 25th-. Payment for lessons must be paid in full prior to teaching. Payment is due by the 1st of the month. On the 5th of the month a late fee of $10 will be assessed. If payment is not made by the 10th, the student will forfeit lessons and will lose their time slot until the account is brought current. There is a $20 fee for any returned checks, in additional bank charges that we incur.

Lateness Policy

If a teacher is late, the time will be made up at a later, agreed upon time. If a student is late, the time will not be made up . If you’re running more than 5-10 minutes late, it may be a good idea to call ahead and let us know that you’re on your way, but running  late. A student who is habitually late may be asked to withdraw from lessons.

Cancellation Policy

You may cancel lessons at any time for any reason. We kindly ask that you give as much advanced notice as possible. To avoid potential miscommunications, we DO NOT accept verbal communications with your instructor or messages left on our answering machine for withdrawals. Any and all payments and/ or tuition are non refundable .

Leave of Absence

Sometimes a student will leave town for the summer or must discontinue lessons temporarily. As a courtesy to the instructor and just as importantly to stop the auto draft on a timely basis, we still require the same advance notice to discontinue lessons temporarily as we do if the student is withdrawing from lessons. Again, please let us know 2 weeks in advance if you will miss lessons in the following month and do not wish to be charged. If you must miss lessons for an extended period of time (more than 3 weeks), please let us know with as much advance notice as possible. It is sometimes possible for a student to return to lessons in their old time slot, but we cannot “hold” or guarantee the student’s old time slot when the student will miss lessons for an extended period of time and does not wish to be charged during the time when lessons are being missed.

Teacher Absence

If VQT ACADEMY and/ or the teacher cancels lesson due to illness or family emergency or any other reason , a subtitute teacher arranged or a make up lesson will be granted to the student. Make up lesson will be scheduled on a mutually agreed upon time. VQT ACADEMY also reserves the right to employ a substitute teacher.

Materials

We are not allow any of music copy due to the copyright law. Students are responsible for the purchase of their own books, instruments, and other materials needed for the lessons they are receiving. Teachers will assist in referring our students to where they can obtain these items, however they are not responsible for providing them personally.

Care of Young Children

The studio is not responsible for providing supervision before or after class. Parents with very young students are asked to remain in the school during lessons. Parents will be responsible for the behavior of your child’s during lesson time. The studio will not be responsible for any injury, loss of belongings, or damage. Your child’s safety is important to us. Please make arrangements to pick up your child as soon as the lesson is over.

Recitals

Recitals are held once a year. Participation is optional. We occasionally take photos of students performing at recitals and sometimes post them on our school Website, Facebook. A picture display in the waiting room or our school website. If you would prefer not to have you or your child’s photo displayed, please let the office manager know.

Holidays

There will be no lessons during the following holiday time and specific dates: New Year’s Day, July 4th, Labor Day, Thanksgiving, New Year’s Eve and Lunar New Year’s Day. Please note that we do not follow public school system schedules for staff preparation/student holidays. When in doubt, please call the school office so you do not forfeit your lesson.
